About the Role
Coastal Orthopedics is looking for a courteous, well-organized Appointment Scheduler to be the first point of contact for patients. In this role, you will help create a smooth and professional scheduling experience while supporting patients throughout their care journey.
Role Overview
This position is centered on providing excellent patient service by arranging appointments, keeping patient details accurate, and directing patients to the right resources. Success in this role depends on clear communication, strong attention to detail, and a caring, professional approach.
Core Responsibilities
- Handle incoming calls quickly and in a professional manner to make a strong first impression.
- Arrange, change, or cancel patient appointments with accuracy and efficiency.
- Gather and record patient demographic details, insurance information, and other relevant data needed for care coordination.
- Keep patient records current and make sure updates are entered promptly.
- Respond to patient questions and guide them to the correct departments or resources.
- Route calls to the right team members when needed.
- Track voicemail messages, internal communications, and work queue items, responding without delay.
- Work with the Clinic Director on same-day or urgent appointment requests.
- Collect unpaid patient balances when required.
- Assist with daily departmental operations and other duties as assigned.
Qualifications
A high school diploma or equivalent is required. Prior exposure to a medical office, healthcare environment, or customer-facing role is preferred. The ideal candidate should be comfortable using computers, navigating several systems at once, and managing multiple tasks efficiently. Experience in orthopedics or outpatient rehabilitation is especially desirable. Strong communication, organization, and multitasking skills are essential, along with a clear commitment to service quality, ongoing learning, and process improvement.
