Job description

Role Overview

The Analyst, Project Management Office supports project delivery by helping define plans, track progress, coordinate stakeholders, and maintain strong governance across assigned initiatives. The role contributes to efficient execution, compliance with internal standards, and alignment with organizational objectives.

Policies, Systems, Processes & Procedures

  • Assist in developing and applying team policies, systems, and procedures so work is carried out in line with organizational requirements.
  • Model the organization’s values and ethical standards to support a culture built on accountability and shared principles.

Project Planning & Resource Management

  • Partner with project managers to follow the planning process by building project plans, progress updates, stakeholder engagement plans, and measurable outputs.
  • Prepare schedules and practical action plans that help projects move forward efficiently and stay aligned with business goals.
  • Coordinate with procurement colleagues to help ensure projects finish on time, within budget, and with the resources available.

Project Management

  • Apply project management plans, methods, and workflows to support effective delivery of project objectives.
  • Assess project needs during demand management to support planning and decision-making.
  • Follow PMO governance standards to keep project stakeholders aligned and operating within approved controls.
  • Carry out document control tasks so project records remain accurate, complete, and well organized throughout the lifecycle.
  • Manage scope changes or variations promptly so shifting requirements are addressed without losing sight of client expectations.
  • Support project handover by working with stakeholders and capturing lessons learned to enable a smooth transition.

Project Risk Assessment and Quality Assurance

  • Help apply corporate policies and procedures that reinforce risk awareness, quality, health and safety, and business continuity practices.
  • Spot project risks early and put mitigation actions in place to reduce disruption and improve the chances of success.
  • Escalate unresolved risks to senior management and contribute to formal mitigation plans when needed.
  • Support quality control efforts so deliverables meet the expected standard and satisfy client requirements.
  • Build project dashboards to monitor quality and performance and support timely decision-making.
  • Maintain reliable records for compliance, audit support, and identification of improvement opportunities.

Stakeholder Engagement

  • Represent the project to internal and external stakeholders and help address questions or concerns across the project life cycle.
  • Prepare regular updates covering milestones, risks, and issues to keep everyone informed and aligned with business needs.
  • Make sure stakeholders understand the project scope, specifications, and objectives to support successful execution.
  • Present status updates in PMO meetings to maintain alignment with organizational priorities and expectations.

Continuous Improvement

  • Take part in identifying ways to improve systems, processes, and practices so productivity rises and costs are reduced in line with global standards.
