Role Summary

The Admissions Specialist serves as the initial contact for people looking into eating disorder treatment, as well as for family members, loved ones, and providers seeking program information. This role is focused on converting inquiries into admissions by building trust, assessing care needs, and handling the administrative side of intake so clients can concentrate on recovery.

Key Responsibilities

  • Answer new treatment inquiry calls, return missed calls promptly, and keep communication timely.
  • Gather ID, referral, and insurance details while determining whether the person meets admissions criteria based on clinical presentation and payer requirements.
  • Stay current on program offerings and explain the features that best match each caller’s needs.
  • Track active leads and opportunities in the database system.
  • Maintain detailed call records and continue communication with individuals and families outside standard business hours when needed, including weekends.
  • Refer callers to other treatment providers when a different level of care is more appropriate.
  • Request records from outside professionals such as physicians, hospitals, laboratories, and treatment centers.
  • Help verify insurance benefits and explain coverage and payment options clearly to families and providers.
  • Negotiate payment plans when necessary and collect initial treatment payments in line with the financial agreement.
  • Conduct clinical intake interviews with potential clients and their families, including biopsychosocial assessments.
  • Coordinate medical clearance with the internal team and ensure relevant clinical information is shared with the inbound clinical team.
  • Work with treatment team members to obtain admission approval and schedule admissions.
  • Confirm that all intake paperwork is completed and signed at the time of admission.
  • Maintain clear communication with referral sources and handle additional duties assigned by the supervisor.

Qualifications and Requirements

  • A bachelor’s degree in human services, communications, or marketing is preferred but not mandatory.
  • At least 2 years of experience in admissions for mental health or behavioral health programs is required; experience in eating disorder treatment is preferred.
  • Strong familiarity with insurance language and the verification process is highly desirable.
  • Experience using client tracking platforms such as Salesforce CRM is preferred.
  • Personal qualities should include responsibility, empathy, compassion, genuineness, strong judgment, and attention to detail.
  • Comfort working directly with mental health populations is required.
  • Excellent listening skills, including the ability to stay intuitive and actively engaged in conversations.
  • Strong verbal and written communication abilities with a clear, concise style.
  • Ability to protect confidentiality at all times.
  • Capable of working independently and also collaborating effectively as part of a team.
  • Comfortable managing calls, documentation, and case updates while supporting clients and families.
  • Able to use computers, software tools, and mobile phone technology with ease.
  • Must have dependable internet service.
  • Comfortable using a computer and smartphone, including macOS and iOS applications.
  • Able to communicate through chat, phone, and video calls.
  • Must be able to sit for most of the work shift.
  • This role requires a private, quiet home workspace with minimal background noise.

Additional Information

This is a work-from-home position. Employees are expected to maintain a private and quiet environment during working hours, and may need to communicate with colleagues outside standard business hours and on weekends when client needs require it.

Compensation

The pay range for this role is USD 26 to 32 per hour.
