About the Role
NSH Saudi Arabia is looking for a seasoned Project Administration Manager to lead the administrative functions for extensive Oil & Gas EPC projects. This role demands overseeing coordination among project teams, clients, subcontractors, and internal departments to ensure compliance with contractual and company standards.
Key Responsibilities
- Oversee all project administration tasks throughout the project's duration.
- Collaborate closely with Project, Construction, Engineering, Procurement, HR, Finance, and Commercial teams to promote smooth project delivery.
- Maintain comprehensive project records, documentation, correspondence, and ensure effective document control.
- Track and manage project manpower mobilization, including onboarding, housing, transportation, and administrative aids.
- Compile and manage reports, dashboards, meeting notes, and status updates related to the project.
- Liaise with clients and subcontractors to handle administrative and contractual paperwork.
- Ensure adherence to company policies, client demands, and procedural requirements.
- Support budgeting, cost monitoring, invoicing, timesheet management, and resource scheduling processes.
- Manage office operations, logistics, travel plans, and site facility administration.
- Administer vendor and subcontractor documentation and oversee approval processes.
- Assist with audits, inspections, and quality assurance initiatives.
- Identify risks related to administration and implement improvements to optimize project efficiency.
- Lead and mentor the project administration team to guarantee timely support delivery.
Qualifications and Experience
- Bachelor's degree in Business Administration, Engineering, Project Management, or a related field.
- At least 10 to 15 years of experience in Project Administration within the Oil & Gas, Petrochemical, or EPC sectors.
- Minimum of 5 years' experience in a managerial or supervisory capacity.
- Proven expertise managing large EPC construction projects.
- Comprehensive understanding of project administration practices, document control, contract management, and reporting.
- Proficient in MS Office and ERP platforms such as SAP, Oracle, or equivalents.
- Excellent communication, coordination, leadership, and organizational capabilities.
- Experience collaborating with major Oil & Gas clients like Saudi Aramco, SABIC, ADNOC is advantageous.
- Work experience in the Gulf or Middle East region is highly desirable.
