Role overview
ALEC Holdings PJSC, part of the Investment Corporation of Dubai (ICD), is a well-established construction group across the GCC with more than 20 years of experience delivering complex, high-profile projects. The company is known for large-scale developments that contribute to the region’s skyline and is publicly listed.
This opportunity is intended for Saudi nationals only due to nationalization requirements. The company is seeking a motivated and experienced Commercial Administrator to support the commercial function within its construction projects.
What this role is meant to do
The Commercial Department Administrator supports the day-to-day running of the commercial team. The position covers administrative coordination, document control, financial assistance, contract support, and cross-team communication to help the department operate efficiently and contribute to project success.
Key responsibilities
- Keep project and commercial records well organized, accurate, and properly filed, including contracts, agreements, financial securities, purchase orders, and change orders.
- Prepare, distribute, and maintain project-related documentation as needed.
- Support financial reporting tasks such as budget monitoring, cost review, and expense tracking.
- Help process invoices, purchase orders, and payments while staying aligned with budget and financial rules.
- Work with the finance team to ensure commercial and financial records remain correct and up to date.
- Assist with drafting, reviewing, and executing contracts and agreements.
- Maintain contract records and track compliance with contractual terms and obligations.
- Support contract amendments and changes through coordination with relevant parties.
- Act as a communication link between the commercial team and other stakeholders.
- Coordinate with procurement, legal, finance, and project management teams to keep work moving smoothly.
- Help ensure adherence to company policies as well as audit and legal requirements.
- Provide general administrative support to commercial managers and team members, including meeting scheduling, presentation preparation, and event coordination.
Qualifications and skills required
Applicants should hold a bachelor’s or master’s degree in business administration or a related discipline. The role calls for strong administrative ability, excellent organization, and attention to detail. Experience or familiarity with financial basics, budget tracking, and invoice handling is important, along with strong written and verbal communication for effective coordination. Candidates must be accurate in managing documents, contracts, and financial records, and be able to work with multiple stakeholders in a fast-moving construction setting. Proficiency in Microsoft Office Suite is expected, and familiarity with project management software is an advantage.
