Job description
Role Overview
This is a full-time, on-site position located in Jeddah. The Administrative Manager is responsible for managing day-to-day office functions, overseeing administrative personnel, coordinating schedules and calendars, and ensuring documents and records are well-organized. The role involves preparing various reports, managing correspondence, supporting budgeting and procurement tasks, and monitoring office procedures to maintain operational efficiency and policy compliance.
Key Responsibilities
- Direct and supervise administrative staff and coordinate with multiple departments to ensure smooth office operations.
- Manage scheduling, calendar appointments, and communication workflows within the office.
- Organize and maintain accurate documentation and records.
- Prepare reports and handle official correspondence timely and effectively.
- Assist budgeting and procurement processes including vendor management activities.
- Ensure office procedures align with company policies and contribute to continuous workflow improvements.
- Support employee onboarding and facilitate smooth HR-related administrative tasks.
Qualifications and Skills
- Proven expertise in office administration such as managing schedules, correspondence, and documents.
- Strong organizational abilities with excellent time management and multitasking skills.
- Experience in supervising or coordinating administrative teams and collaborating across functions.
- Understanding of basic budgeting, procurement, and vendor coordination.
- Proficiency with office software applications including word processing, spreadsheets, email, and communication tools.
- Fluent English communication skills, both written and spoken; proficiency in Arabic is an added advantage.
- Ability to work effectively on-site in Jeddah within a diverse and inclusive workplace culture.
- A Bachelor’s degree in Business Administration, Management, or relevant field; prior experience in office administration or management preferable.
- Additional knowledge in HR, compliance, finance, and accounting is beneficial.
