About the Role
We are seeking a proactive and highly organized Office Administrator and Operations Support professional to serve as the cornerstone of our expanding Singapore office operations. This multifaceted position involves significant ownership where you will collaborate closely with the founding team and gain insight into scaling an early-stage technology enterprise. Key Responsibilities
- Oversee daily office activities including managing supplies, equipment, vendor relationships, IT coordination, and general maintenance.
- Act as the primary contact for visitors, deliveries, and inquiries.
- Coordinate office logistics including seating arrangements and future relocation or refurbishment projects.
- Support the founding team and senior staff with scheduling and calendar management.
- Plan and arrange travel, accommodations, and itineraries for both domestic and international business trips.
- Organize internal meetings, team events, and occasional visits from clients or investors.
- Assist with invoicing, expense monitoring, and liaising with external accounting and corporate secretarial service providers.
- Maintain organized digital records, filing systems, and manage basic document control.
- Support procurement processes and onboarding of new vendors.
- Facilitate onboarding for new employees, including handling equipment, account setups, and paperwork.
- Maintain HR records and coordinate payroll matters in collaboration with external providers.
- Assist with work pass and employment documentation related tasks, as applicable.
- Adapt to shifting priorities in a startup environment and contribute wherever needed.
Qualifications and Skills
- Minimum of 2 years’ experience in office administration, operations, executive assistance, or an equivalent generalist role; experience in startups or SMEs is desirable.
- Excellent organizational abilities and meticulous attention to detail.
- Capability to manage multiple priorities efficiently with minimal supervision.
- Proficiency in common office tools such as Microsoft Office and Google Workspace and quick to learn new software systems.
- Professional demeanor, trustworthy, and able to handle confidential information with discretion.
- Fluent written and spoken English; knowledge of Mandarin is beneficial due to regional partnerships and stakeholders.
- A proactive attitude with a willingness to undertake any task and an interest in clean energy and technology sectors.
Preferred Attributes
- Prior involvement in technology, energy, or financial services sectors.
- Familiarity with Singapore’s corporate, HR, and finance administrative processes.
- Basic understanding of bookkeeping or accounting principles.
