Role Overview
The Administrative Coordinator in the Rare Disease Global Marketing unit plays a crucial role in managing executive and departmental operations efficiently. This role demands strong organizational skills, initiative, and the ability to coordinate complex schedules and international travel. The coordinator acts as a reliable partner to senior leaders by providing comprehensive administrative support that enables strategic efforts and smooth departmental functioning. Responsibilities include managing meetings, travel, event support, and maintaining stakeholder relationships, alongside driving process improvements for enhanced administrative workflow.
Key Responsibilities
- Efficiently managing intricate executive calendars across multiple time zones, ensuring strategic priorities are met.
- Proactively anticipating scheduling challenges and independently resolving conflicts through stakeholder collaboration.
- Coordinating travel arrangements domestically and internationally, including trip itineraries, logistics, and expense management compliant with policies.
- Organizing and supporting major business gatherings such as congresses and conferences by handling registration, accommodations, and on-site requirements.
- Managing logistical details for meetings, including venue booking, catering, audiovisual support, and facility coordination.
- Overseeing operational tasks like purchase order processing, invoice handling, vendor management, and departmental mailings.
- Maintaining critical department documentation such as distribution lists, organizational charts, and contact databases to align with organizational objectives.
- Tracking action items, monitoring follow-ups, and ensuring accountability for timely task completions.
- Assisting with special projects, leadership events, team-building exercises, onboarding, and departmental functions.
- Providing backup support to colleagues and contributing to a cooperative, efficient team environment.
- Identifying and implementing process improvements enhancing team productivity and effectiveness.
Required Qualifications
- Associate degree plus two years of administrative experience, or
- Two years of practical experience from a technical school, or
- High school diploma or GED with at least four years of administrative experience;
- Preferred: Minimum of five years supporting senior leaders in fast-paced, complex organizations.
- Excellent verbal and written communication skills.
- Proficient in Microsoft Office tools including Outlook, PowerPoint, Excel, and Word.
- Experienced with SAP, MyBuy, Concur, Microsoft Teams, WebEx, SharePoint, and AI productivity software.
- Biopharmaceutical, healthcare, or life sciences industry experience is advantageous.
- Ability to maintain discretion and professionalism with confidential information.
- Strong interpersonal skills to nurture collaboration.
