Role overview
The Administrative Coordinator II supports the day-to-day administrative and office services needs of a department, care center, or division. The role covers areas such as purchasing, payroll processing, records management, and human resources, and also includes higher-level support work like credentialing, appointments, promotions, special assignments, and grant-related tasks. The position may oversee administrative team members and generally reports to a division head, vice president, or another senior leader. In the absence of senior departmental leadership, this person may step in as a Supervisor or Administrative Manager.
What you'll do
- Manage office operations across administrative, HR, financial, staffing, project, and credentialing functions.
- Help monitor budgets and grant distributions, and prepare paperwork needed to keep accounts balanced for review and approval.
- Process HR and payroll actions end to end, including weekly payroll submission and issue resolution with HR and payroll contacts.
- Keep departmental supplies stocked by checking inventory, identifying replenishment needs, placing requisitions, and coordinating with Purchasing to obtain competitive pricing for equipment and materials.
- Track vendor contract end dates and support renewals when required.
- Assist with planning and logistics for forums, conferences, seminars, meetings, and visiting professorships.
- Help prepare participant information packets and record, transcribe, and distribute meeting minutes.
- Create and revise communications such as flyers, brochures, leaflets, and mailers.
- Gather, organize, and analyze information for reports, including statistical summaries and calculation-ready figures.
- Review submissions for leadership to confirm that all necessary details, approvals, and supporting information are included.
- Train, orient, and mentor new office support staff, and monitor their performance.
- Coordinate secretarial and general office coverage.
- Handle additional related duties as assigned.
Requirements
- A bachelor’s degree is required, or an equivalent combination of relevant education and experience.
- At least 7 years of related administrative or business experience are needed.
- Prior supervisory experience is strongly preferred.

Compensation
The annual salary range for this role is $71,500 to $98,827. Actual pay may vary based on experience, education, and operational requirements. This range does not include bonuses, incentive pay, differentials, or other compensation and benefits.
