Position Overview
The Administrative Coordinator will play a crucial role in managing work orders and coordinating vehicle logistics to ensure smooth operations. This role requires meticulous attention to managing multiple priorities with efficiency and clear communication across technical staff, vendors, customers, and internal teams.
Key Duties and Responsibilities
- Manage and monitor the creation, review, prioritization, and completion of work orders with high accuracy.
- Coordinate vehicle scheduling, dispatch, transport, and delivery logistics effectively.
- Track vehicle availability, maintenance, status updates, and service timelines.
- Maintain comprehensive and accurate documentation related to work orders and vehicle movements.
- Communicate regularly with the sales team to update vehicle statuses and support report generation.
- Proactively anticipate operational challenges and introduce solutions to minimize disruptions.
- Support compliance with company policies, safety standards, and procedures.
- Work closely with Production and Quality Managers conducting interim and final inspections on upfitted vehicles.
- Identify and recommend improvements in workflow and operational efficiency.
Qualifications and Skills
- Experience in managing work orders, operations coordination, or customer service roles.
- Basic accounting knowledge is beneficial.
- Proficiency with Microsoft Office suite.
- Strong organizational and multitasking skills with exceptional communication abilities.
- Ability to work independently and collaboratively within a team environment.
