Interscope Capitol is hiring an Administrative Assistant to support the EVP, International Marketing. This position calls for someone with prior experience assisting senior executives, strong judgment, and a high level of confidentiality. Success in the role depends on excellent attention to detail, strong organization, the ability to handle many urgent priorities at once, and comfort working under pressure and tight deadlines. The right person will be professional, dependable, discreet, and confident handling sensitive information and interacting with people across and outside the business. A proactive, can-do approach is essential.

Key Responsibilities

  • Coordinate the executive’s calendar by setting meetings and conference calls through phone, email, and Microsoft Outlook.
  • Review incoming meeting requests, assess urgency, and arrange them in priority order.
  • Help keep the executive on schedule throughout the day.
  • Handle office communication with care, including screening and transferring calls, managing call rollovers, and interrupting meetings only when appropriate.
  • Check that conference rooms are ready for in-person meetings, including Zoom and AV setup.
  • Welcome both internal team members and outside guests attending meetings.
  • Manage travel and entertainment expense processing.
  • Arrange domestic and international travel, lodging, and car services.
  • Organize catering and food service for meetings.
  • Draft clear, polished internal and external communications.
  • Archive email correspondence and maintain current and prospective electronic filing systems.
  • Prepare packing and shipping items as needed.
  • Keep the executive’s office neat and well organized.
  • Maintain and update executive and team calendars.
  • Create and update presentations and other assigned project materials.
  • Prepare data reports and meeting materials.
  • Manage company mobile phones, company credit cards, office supplies, and invoice payments.
  • Provide support to the wider international team when needed.

Skills and Experience

The ideal candidate brings strong interpersonal skills and can work effectively with colleagues at all levels, including senior leaders around the world, as well as with external business partners. The role suits someone who is self-driven, resourceful, adaptable, and highly dependable. Strong follow-through, excellent customer service, time management, organization, and multitasking ability are all important, along with solid working knowledge of Microsoft Office tools.

Required experience includes 1 to 2 years in an administrative role.

Base salary range: $40,520 to $55,000 annually. Actual pay depends on factors such as qualifications, relevant experience, specialized skills, education level, certifications or professional licenses, and the applicant’s location.

  • Manage company phones, credit cards, supplies, and invoices.
  • Support the international team as needed.
  • 1 to 2 years of administrative experience.
  • Proven ability to support senior leadership with professionalism and discretion.
  • Strong attention to detail and accuracy.
  • Ability to manage multiple priorities and work under tight deadlines.
  • High level of integrity when handling confidential information.
  • Strong organization and time management skills.
  • Comfortable communicating with senior stakeholders and external partners.
