Role overview
This contract administrative role supports Microsoft through an external staffing partner, Allegis Global Solutions. Anyone hired into the position will be employed by AGS rather than Microsoft.
You will join a fast-moving, collaborative environment where strong organization, attention to detail, and sound judgment are essential. The position is centered on helping executives and team members stay organized by handling calendars, travel, expenses, events, purchasing, and other day-to-day coordination tasks. Success in this role depends on staying ahead of needs, juggling shifting priorities, and delivering accurate support with consistency.
Key responsibilities
- Monitor incoming meeting requests, resolve scheduling overlaps, and keep executive calendars aligned on a daily basis.
- Handle busy, multi-person calendars and adjust schedules proactively when priorities change.
- Arrange travel, including flights and hotel bookings, through internal systems.
- Prepare and file expense reports for several managers promptly and correctly.
- Assist with team events, morale activities, and offsite planning and execution.
- Order hardware, software, and office supplies as needed.
- Maintain alias assignments and keep records up to date.
- Support workspace planning by updating seating assignments.
- Take on additional special projects to support wider organizational needs.
Experience and qualifications
The role calls for 2 to 4 years of growing administrative or operations support experience. Experience supporting several managers or executives with calendar management is strongly preferred. Familiarity with travel coordination and expense submission is also preferred, and event planning or morale-program support is considered an advantage.
Applicants should have excellent calendar management capability, be comfortable handling high-volume scheduling, and be able to balance competing demands. Strong problem-solving and conflict-resolution skills are important, along with excellent organization, close attention to detail, clear written and verbal communication, and the ability to manage multiple tasks in a busy setting. A disciplined approach to process, accuracy, and follow-through is essential. Proficiency with Microsoft Outlook, Word, and Excel is required.
Additional details
This position is based in Redmond, WA and follows a hybrid schedule of 4 days onsite each week. The assignment runs for 3 months. The role is non-exempt, with a 40-hour workweek. Applications should be submitted within 72 hours of the posting date to be considered.
