About the Role
Join American Airlines as an Administrative Assistant working within the International Airports team supporting operations in Canada. This role collaborates closely with cross-functional teams to ensure accurate processing, analysis, and documentation of accounting activities following internal controls, protocols, and local laws. The position plays a key role in meeting close timelines, statutory compliance, and spearheading continuous improvement efforts to optimize operational efficiency across the organization.
Key Responsibilities
- Reconcile monthly fuel accounting entries to ensure accuracy
- Coordinate, prepare, and maintain approval documentation for flight scheduling
- Manage payroll reconciliations covering daily, weekly, and monthly cycles
- Validate and authorize submission of vendor invoices
- Communicate with vendors, operational departments, and headquarters to resolve discrepancies and respond to queries related to payments and taxes
- Oversee multiple projects simultaneously, manage deadlines, and prioritize tasks to align with business needs
- Review and interpret accounting policies, internal controls, audit requirements, and tax regulations
- Provide support for audits, special projects, and ongoing initiatives through to completion
Qualifications
- Minimum: Completion of secondary school or an equivalent educational level
- Preferred: Bachelor’s degree in administration or related field, or equivalent training
- Previous exposure to airline operations within a global context is desirable
- Experience in the airline industry is an advantage
- Proficient in English (reading, writing, speaking) with ability to work flexible hours as required
Skills
- Working knowledge of SAP software
- Proficiency in Microsoft Office suite including Excel, Word, Access, and PowerPoint
- Strong analytical capabilities, both qualitative and quantitative
- Excellent organizational skills capable of managing multiple assignments effectively
- Ability to maintain confidentiality with sensitive information
