Job description

Position Overview

The Region of Peel is seeking an Administrative Assistant dedicated to supporting the Medical Officer of Health (MOH). This key role entails delivering confidential executive assistance within the MOH office, managing complex schedules and priorities, and facilitating communication between senior leaders, stakeholders, and community partners.

Key Responsibilities

  • Provide discreet and comprehensive administrative and executive support to the MOH.
  • Organize and manage detailed calendars, meetings, correspondence, and varied priorities.
  • Prepare and coordinate reports, presentations, agendas, minutes, and follow-ups.
  • Oversee smooth information flow, document management, and communications for the MOH office.
  • Handle inquiries and collaborate with both internal and external contacts professionally and confidentially.
  • Conduct research and contribute to special projects and public health efforts.
  • Arrange travel, conferences, meetings, and engagements with stakeholders.
  • Maintain filing systems, records, and sensitive information securely.
  • Offer administrative assistance across the MOH office as necessary.
  • Champion diversity, equity, inclusion, and belonging in all interactions.

Qualifications and Experience

  • Post-secondary education in Office Administration, Business Administration, or a related discipline; or an equivalent blend of training and experience.
  • At least three years of progressive administrative support, ideally assisting senior or executive staff.
  • Preferably experienced supporting healthcare executives within public health, hospitals, or broader health systems.
  • Strong political insight with the ability to handle sensitive, confidential, and high-profile issues.
  • Self-driven capability to prioritize, troubleshoot, and manage fluctuating demands effectively.
  • Excellent organizational, communication, client service, and stakeholder relationship skills.
  • Proficiency in Microsoft 365 suite including SharePoint, Teams, Lists, Loop, and Copilot.
  • Ability to juggle multiple deadlines in a fast-changing executive context with great attention to detail and professionalism.
  • Capacity to work independently and in teams, anticipating needs and initiating actions proactively.

Additional Preferred Skills

  • Experience within public health, government, healthcare, hospitals, or public sector environments.
  • Familiarity with PHIPA, FIPPA, and Ontario Public Health Standards.
  • Knowledge of records management and information administration.
  • Experience utilizing AI tools to improve productivity and workflow efficiency.

Work Arrangement
