Job Overview
The Department of Health and Social Services is recruiting for a term full-time Administrative Assistant position based in Whitehorse, Yukon. This role involves providing comprehensive administrative support to the Assistant Deputy Minister of Community and Primary Care and the Interprofessional Practice Chief Nursing Officer with a work commitment of 75 hours bi-weekly. This posting also establishes a 12-month eligibility list for similar future positions.
Key Responsibilities
The successful candidate will manage and coordinate complex administrative duties including calendar management, arranging travel, preparing official communications, organizing casework responses, and logistical arrangements. Additional responsibilities include drafting agendas and documenting minutes for internal and external meetings, acting as a primary liaison between the ADM's office and various internal government divisions and external stakeholders, ensuring smooth communication and collaboration.

Ideal applicants must possess strong organizational, communication, and problem-solving skills, exhibiting discretion and professionalism when handling sensitive information. The role requires adaptability to prioritize multiple tasks efficiently in a dynamic, fast-paced environment and engage sensitively with diverse groups.
Eligibility and Qualifications
- Completion of coursework in office administration, business administration, or related fields is considered an asset.
- Proven recent experience in senior administrative support responsibilities such as travel coordination, calendar management, minute taking, document proofreading, basic research, records management, and facilitating communication.
- Experience handling financial administrative procedures including procurement contracts, invoice processing, and travel claim management.

Conditions of Employment
- WHMIS 2015 certification required to be obtained within three months of hire.
- Physical capability to lift up to 25 lbs.
- Willingness to attend meetings offsite, primarily in Whitehorse and occasionally in rural areas.
- Expectation to work a standard in-office schedule of 75 hours bi-weekly.
- 85% of duties to be performed using a computer.
