About the Role
The Seminaries and Institutes (SAI) department is currently looking for a motivated and well-organized Administrative Assistant to be part of their Sydney office team. This permanent, part-time position involves contributing to an educational mission and supporting various administrative functions within the department.
Key Responsibilities
- Gather and consolidate data from multiple origins to produce memos, documents, reports, spreadsheets with charts and graphs, and presentations using a variety of software tools.
- Conduct research and information analysis to provide informed recommendations.
- Record minutes during meetings and handle all related documentation.
- Manage schedules, appointments, and calendars through computer applications.
- Deliver one-on-one and group administrative training to teachers during council meetings, as well as coordinate refreshments.
- Assist with projects such as managing social media posts, organizing events, and creating invitations.
- Handle moderately complex inquiries via phone and email professionally.
- Reconcile expenses and manage procurement and inventory while adhering to office budget limitations.
- Be available for occasional work beyond standard office hours.
Qualifications and Skills
- Completion of High School Diploma or equivalent educational credential.
- Experience at entry-level or higher in providing administrative support.
- Excellent verbal and written communication abilities with a professional demeanor.
- Proficiency in Microsoft Office suite (Word, Excel, Outlook, PowerPoint) and adaptability to learn additional systems.
- Preferred experience as a student or teacher within Seminary and Institute programs.
- Strong organizational skills to manage multiple priorities effectively.
- Problem-solving aptitude enabling independent resolution of basic issues.
- Meticulous attention to detail for accuracy in documentation and reporting.
- Ability to maintain confidentiality and discretion with sensitive information.
- Good interpersonal skills for collaborative work environments.
- Competence in using standard office equipment.
- Dependability, professionalism, and a constructive attitude.
- Legal authorization to work in Australia is required.
- A police background check may be necessary.
Additional Information
- Position reports directly to the SAI Coordinator.
- Work schedule entails 30.4 hours per week on a permanent basis.
- Target start date: 17 August 2026.
- Location: 756 Pennant Hills Road, Carlingford, NSW 2118, Australia.
