Role Overview

Voltus is seeking a proactive Administrative Assistant who can manage several priorities at once and thrive in a fast-moving environment. The position supports senior executive assistants and is part of the People Team under the Senior Director of People Operations. The role involves handling company administration, supporting employees, coordinating communication, managing schedules and expenses, and assisting with special projects.

This is a highly collaborative role that requires comfort working with leadership teams, strong attention to detail, and the ability to remain organized while priorities change quickly.

Key Responsibilities

  • Partner with two Executive Assistants who support multiple C-suite leaders by handling scheduling, expense reporting, travel coordination, presentation creation, reports, and other urgent priorities.
  • Help plan and coordinate team events across North America, including communication with hotels, venues, and restaurants.
  • Create and format PowerPoint decks, including materials for the weekly all-staff meeting called Veritas.
  • Retrieve daily mail from a virtual mailbox and distribute it appropriately.
  • Monitor phone messages and route them to the right people.
  • Organize documents, meeting recordings, and records to maintain clean and accurate company drive files.
  • Act as a contact for employee questions and direct requests to the correct internal resources.
  • Provide limited administrative assistance to Senior Vice Presidents and Vice Presidents.
  • Take on additional duties assigned by the manager and the Senior Director of People Operations.
  • Offer backup support for executive assistants during vacations, short absences, or especially busy periods.

Qualifications

  • At least 2 years of experience as an administrative assistant, executive assistant, or office manager.
  • Comfortable using Microsoft Office, Google Workspace, Slack, and online communication tools.
  • Willing and able to learn new software, including through self-guided online tutorials.
  • Strong critical thinking ability and a collaborative approach to solving problems.
  • Service-minded attitude with flexibility to adapt to shifting business needs and a practical, solution-oriented mindset.
  • Ability to stay effective in a fast-paced, high-growth, deadline-driven, and virtual work environment while balancing multiple tasks.
  • Genuine interest in energy and climate issues and motivation to contribute to a mission-driven organization.
  • Self-directed work style with the ability to identify needs and prioritize effectively.
  • Discreet handling of sensitive and confidential information.
  • Excellent written and spoken communication skills with strong attention to detail.
  • Capability to work remotely with dependable internet access and consistent responsiveness through virtual collaboration tools.

Additional Information

This role does not include visa sponsorship or transfer support. Candidates must already be authorized to work from their home location in the United States or Canada, unless the role description states otherwise.

Although the company is fully remote, there are restrictions on where employees may work for regulatory and security reasons. Team members are generally expected to work primarily from their home country, and any work while traveling internationally must follow the Global Remote Travel Policy.

Compensation and Benefits

The annual base salary for this role is USD 55,000 to USD 65,000, depending on experience. In addition, the position includes a 10% annual bonus and equity.
