Job description

Job Overview

We are looking for an Administrative Assistant to offer administrative support and coordinate activities for a team within the finance sector. This role involves managing schedules, organizing meetings, handling travel and expenses, and supporting office operations to ensure seamless team functionality.

Key Responsibilities

  • Maintain Outlook calendars and coordinate logistics for internal and external meetings.
  • Organize both domestic and international travel arrangements and schedules.
  • Process expense reports and assist with expense pre-approval in compliance with policies.
  • Serve as the team's expert on travel, expense, and related policies and procedures.
  • Manage incoming calls by prioritizing and screening phone communications.
  • Arrange video conference sessions and reserve meeting spaces.
  • Handle technology requests, supply orders, and general inquiries.
  • Support staff onboarding and offboarding processes including equipment setups and access permissions.
  • Prepare and process invoice submissions.
  • Perform routine tasks proactively while alerting management to any potential issues or delays.
  • Collaborate effectively with team members to provide coverage and backup support.
  • Keep internal partners informed about divisional activities and business objectives.
  • Lead and manage ad hoc projects as assigned.

Qualifications and Skills

  • At least five years of administrative experience in the finance industry.
  • Ability to thrive in a fast-moving, dynamic workplace.
  • Strong organization, prioritization, multitasking, and problem-solving skills.
  • Exceptional attention to detail and high standards of accuracy.
  • Excellent verbal and written communication capabilities.
  • Demonstrated integrity and ability to maintain confidentiality.
  • Proficiency in Microsoft Outlook, Word, Excel, and PowerPoint.
  • Adept at quickly learning new technologies and adapting them to departmental needs.
  • Sound judgment and decisiveness in decision-making.
  • Effective interpersonal skills to build positive relationships internally and externally.
  • Professional telephone etiquette.
  • Self-motivated and capable of working independently with minimal supervision.

Additional Information
