Job description

Role overview

We are looking for a well-organized and meticulous Administrative Assistant to support the daily activities of a professional services team in Dubai. This position is central to client engagement administration, document handling, project follow-up, and internal coordination.

The role works in close partnership with Partners, Directors, Managers, and client-facing colleagues to keep administrative and client service tasks moving efficiently.

Key responsibilities

  • Draft, update, and manage client engagement letters along with associated records.
  • Monitor project timelines, key deadlines, and the status of multiple client engagements.
  • Assist with client onboarding and keep client information accurate and up to date.
  • Work with internal stakeholders to collect approvals, signatures, and supporting paperwork.
  • Keep trackers, databases, and document filing systems organized and current.
  • Help prepare proposals, format documents, and manage related files.
  • Arrange meetings, manage calendars, and coordinate conference calls.
  • Create meeting packs, presentations, and reports as needed.
  • Handle incoming communications and follow through on action points promptly.
  • Provide administrative support across different service lines and operational workflows.
  • Maintain records in line with internal quality and compliance expectations.

Requirements

  • A bachelor’s degree in Business Administration, Commerce, Accounting, Finance, Economics, or another relevant discipline.
  • 0 to 3 years of experience in administration, project coordination, client services, consulting support, or office operations.
  • Background in consulting, accounting, legal, financial services, or a similar professional services setting is a plus.
  • Strong planning, organization, and multitasking skills.
  • Clear written and verbal communication in English.
  • Comfortable using Microsoft Office tools, especially Excel, PowerPoint, and Word.
  • Careful attention to detail and a high level of accuracy.
  • Ability to handle competing priorities in a busy, fast-moving environment.

Preferred qualifications

  • Exposure to client documentation, contracts, engagement letters, or onboarding workflows.
  • Experience with project tracking, milestone monitoring, or coordinating workflows.
  • Knowledge of Russian, Ukrainian, Belarusian, or other European languages is an added advantage.

This is a full-time onsite role based in Dubai, United Arab Emirates.
