Role Overview
The Administrative Assistant position is a full-time, on-site role located in Berlin, Germany. This role focuses on providing daily administrative support to maintain efficient office functions and assist in the effective execution of programs.
Primary Responsibilities
- Manage calendars and arrange meetings to optimize schedules.
- Organize and maintain filing systems and records.
- Ensure office supplies and equipment are adequately stocked and functioning.
- Handle telephone calls professionally; greet and assist visitors.
- Manage correspondence and support internal and external communication channels.
- Prepare documents, perform data entry, and assist with basic reporting tasks.
- Coordinate events and workshops to support program activities.
- Provide routine administrative support to senior staff, including meeting preparation and travel arrangements.
- Work collaboratively with program and operations teams to streamline workflows.
Qualifications and Skills
- Strong skills in administrative and clerical tasks—scheduling, filing, data management.
- Professional communication abilities, with effective phone etiquette and interpersonal skills.
- Experience assisting senior executives, handling confidential information carefully and organizing meetings.
- Excellent organizational and time management capabilities, able to prioritize multiple tasks accurately.
- Proficiency with common office software suites (e.g., MS Office) and digital communication tools.
- Ability to collaborate well within diverse, multicultural environments and show empathy toward vulnerable communities.
- Fluency in English is required; additional knowledge of German or regional languages is advantageous.
- Prior experience in nonprofit, humanitarian, or social service settings is preferred; vocational training or education in administration, business, or related fields is a plus.
