About the Role
We’re hiring an Administrative Assistant to support the Global Investment Banking team. This opportunity is with a workplace recognized as a Fortune Best Place to Work since 2004.
In this position, you’ll use analytical thinking to research, compile, and input data so reporting stays accurate and reliable. You’ll also handle a variety of administrative tasks for junior to mid-level bankers, such as calendar management, meeting and call coordination, travel arrangements, and expense processing. In addition, you’ll act as backup support for the front office hospitality team.
The role is ideal for someone who is naturally curious, self-driven, detail-focused, and motivated to learn new responsibilities. You should be comfortable spotting process gaps and helping improve efficiency. The company also emphasizes training and internal growth within the Administrative Assistant track.
This is a hybrid arrangement: you’ll work from the Tysons Corner office on Tuesday, Wednesday, and Thursday, and work remotely on Monday and Friday.
Key Responsibilities
- Handle data entry work such as research, cleanup, mining, and routine system updates to keep records and reporting accurate.
- Assist junior and mid-level bankers with project-related administrative tasks.
- Organize calendars and coordinate schedules for calls, meetings, and other team activities.
- Arrange domestic and international travel while staying current on related travel policies and process updates.
- Prepare, submit, monitor, and track expenses while following expense guidelines and any policy changes.
- Provide backup coverage for administrative and executive support needs, including receptionist and hospitality duties when needed.
- Collaborate closely with bankers and teammates to maintain strong working relationships.
- Work with the Conference Center team to book meeting rooms and arrange catering for internal meetings.
- Represent the organization professionally in interactions with colleagues, bankers, and clients.
Requirements
- High school diploma or an equivalent credential is required.
- At least 3 years of experience as an Administrative Assistant, ideally in financial services.
- Strong communication skills, both verbal and written, along with good interpersonal ability.
- Excellent accuracy and a strong eye for detail.
- Solid organization and time-management skills, with the ability to juggle multiple priorities and deadlines.
- Strong critical thinking and problem-solving ability.
- Comfortable to advanced level with Microsoft Office tools, including Outlook, Word, Excel, and PowerPoint.
- Experience using travel and expense systems; Concur is preferred.
- Prior use of CRM software; Salesforce is preferred.
Compensation and Benefits
- Hourly pay ranges from $28.25 to $38.25.
- Eligible for a bonus of up to 8.5% of base pay.
