Job description
Job Summary
This role supports daily office and departmental operations under general supervision. The position involves preparing and proofreading correspondence and reports, handling calls and visitors, processing documents, maintaining records, and assisting with travel, data collection, and special projects. Some duties may also include taking and transcribing dictation, along with basic arithmetic work.
Key Duties
- Draft, type, and review letters, memoranda, forms, and reports using word processing tools, then distribute and file the completed materials.
- Answer, screen, and direct incoming calls; place outgoing calls; and pass information to internal and external contacts.
- Welcome visitors at the assigned desk area and, when needed, provide receptionist support in other locations.
- Handle incoming and outgoing mail, departmental forms, and other materials, including pickup and delivery across airport locations.
- Carry out general administrative work such as copying, faxing, maintaining files, managing schedules, keeping departmental reference materials organized, and processing time cards.
- Support travel arrangements by coordinating and confirming flights, hotels, rental cars, and similar bookings.
- Help gather research and report data from outside sources and assist with program administration and special assignments.
- Prepare deposits for checks, cash, and credit cards, or verify deposit totals.
- Identify environmental impacts within the scope of the role and communicate relevant personnel or operational changes to Environmental Affairs in a timely manner.
- Review environmental performance and provide feedback where improvement is needed, while recognizing strong environmentally responsible performance.
Qualifications
- High school completion or an equivalent credential is required.
- A minimum of 2 years of administrative experience is needed.
- An equivalent mix of education and experience may be accepted in place of the stated requirements.
- Some positions may require that the applicant has no felony or Class A/Class B misdemeanor convictions.
- Some positions may also require that the applicant has no history of family violence offenses.
Skills and Abilities
- Strong command of business English, spelling, vocabulary, and arithmetic.
- Comfort with modern office software, including word processing and spreadsheet tools.
- Ability to operate standard office machines and equipment.
- Capability to perform intermediate math involving fractions, decimals, and percentages.
- Ability to write routine business correspondence with proper grammar and structure.
- Skill in building and maintaining positive working relationships with internal and external contacts.
Special Requirements
The selected candidate must obtain a Security Identification Display Area (SIDA) Airport Identification/Access Badge within 30 days of hire, in line with TSA and airport security requirements, and must continue to meet badge qualification standards at each renewal.
Desired Profile
Multilingual candidates are preferred.
Work Environment
This position is based in an office setting. The work includes sitting for long periods, proofreading with close visual attention, using a keyboard and computer monitor, and communicating by phone and in person.
