Role Overview

This is a full-time remote position for an Administrative Assistant, responsible for providing daily administrative support to financial advisers and independent brokers. The role includes managing calendars, arranging meetings, keeping documents organized, and ensuring records remain accurate and up to date. You will also manage calls and emails professionally, direct enquiries to the right place, and follow up promptly when needed. In addition, the position involves preparing simple reports, assisting with data entry, and handling routine office tasks such as filing, formatting documents, and updating client details. Working closely with advisers and internal colleagues to keep workflows efficient and service delivery consistent is a key part of the job.

Key Duties

  • Coordinate schedules, appointments, and calendar activities.
  • Organize files, documents, and client records in a structured way.
  • Answer telephone calls and manage email communication with a professional tone.
  • Direct incoming queries and ensure timely follow-up.
  • Prepare basic reports and support routine data-entry tasks.
  • Handle clerical work such as filing, formatting documents, and maintaining client information.
  • Support advisers and internal team members to help operations run smoothly.

Qualifications and Skills

  • Hands-on experience with administrative tasks, including scheduling, calendar coordination, and record maintenance.
  • Strong telephone manner and clear, respectful communication for client-facing interactions.
  • Experience supporting senior professionals with prioritization, reminders, and follow-through.
  • Good clerical abilities, including data entry, document handling, and basic report creation.
  • Comfort using office software and online collaboration tools such as email, spreadsheets, document systems, and video conferencing.
  • Ability to work autonomously in a remote setup while managing several tasks at once.
  • Careful attention to detail, dependable work habits, and professional written and verbal communication.
  • Experience in financial services or other professional services environments is an advantage.

Work Arrangements

This role is full-time and remote, based in South Africa.
