Overview

Macy’s is hiring an Administrative Assistant to support its Corporate Communications and Public Affairs function in New York City. This role sits within the Enterprise and External Communications team and focuses mainly on Corporate Communications and Financial Communications, with exposure to Brand PR work as well.

The position calls for strong organization, sound judgment, the ability to stay ahead of needs, and a practical, solutions-driven approach in a busy, changing environment.

Compensation

Annual pay for this role is listed at $67,560 to $112,440, depending on the job, location, and schedule.

Key Responsibilities

This role blends executive administration, communications coordination, media tracking, and cross-functional support. It involves helping senior communications leaders stay organized, supporting external messaging efforts, and keeping daily operations running smoothly.

Administrative Support

  • Deliver senior-level administrative and operational assistance to the SVP, Corporate Communications and Public Affairs, and the VP, External Communications.
  • Run a complex executive calendar by prioritizing requests, resolving conflicts, setting up meetings, and anticipating upcoming needs.
  • Handle travel planning, conference coordination, event logistics, expense reports, invoice handling, and related administrative tasks.
  • Assist with budget monitoring and team operations, including purchase order setup, invoice processing, and vendor coordination.

Corporate and Financial Communications Support

  • Help execute external communication plans for company initiatives, leadership announcements, business updates, and financial events or milestones.
  • Track media coverage tied to corporate and financial news such as earnings, investor updates, and company announcements, and help lead the daily enterprise media report for senior leadership.
  • Support executive media engagements by preparing interview materials, building briefing documents, creating media lists, and managing logistics.
  • Prepare post-announcement and campaign summaries that capture results, coverage performance, and important takeaways for future planning.

Agency and Vendor Coordination

  • Work with external PR agencies and vendor partners on a daily basis by drafting briefs, monitoring deliverables, and keeping deadlines on track.
  • Keep media lists for corporate and financial coverage organized and current.

Cross-Functional and Brand PR Support

  • Assist broader Brand PR work, including campaigns, partnerships, product launches, events, and cross-functional communications.
  • Support administrative tasks such as budget tracking, internal status updates, and daily media clip reporting.
  • Provide on-site help for major enterprise events, including the Macy’s Flower Show, Macy’s 4th of July Fireworks, Macy’s Thanksgiving Day Parade, Black Friday, and holiday programs.
  • This event support may require weekend and national holiday availability.
  • Other duties may be assigned as needed.

Skills Needed

  • Basic understanding of media relations, news cycles, reporter expectations, and interview support.
  • Strong organization and accuracy with calendars, trackers, and documentation.
  • Ability to manage competing priorities and multiple stakeholders in a fast-moving environment.
  • Proactive, curious, and eager to take on new responsibilities.
  • Comfort working with senior leaders, internal teams, agencies, and vendors.
  • Ability to summarize media results and campaign performance into clear takeaways.

Candidate Profile

Applicants should have a high school diploma, GED, or equivalent experience in a related field. The ideal candidate has 1 to 3 years of experience in communications, public relations, journalism, or a related area; internships are included in this experience range.

The job may require sitting, speaking, hearing, and frequent use of the hands and fingers for handling or feeling. Occasional movement around the workplace and reaching with the arms may also be needed, along with close vision.

A flexible schedule is required based on department and company needs.
