Its focus is on helping people with diseases such as plaque psoriasis achieve deep and lasting clearance with treatments that may only be needed once or twice a year. Role Overview

The Administrative Assistant will provide organized, dependable, and detail-focused support to keep day-to-day business activities running smoothly. This position works across several functions, including executive calendar support, office coordination, meeting planning, vendor interactions, and broader administrative tasks. It is well suited for someone who enjoys a fast-moving, purpose-driven environment and is comfortable supporting a variety of team needs.

Administrative Support

  • Manage demanding calendars across multiple time zones and provide ongoing administrative help to several team members.
  • Arrange domestic and international travel and complete expense reports according to company guidelines.
  • Handle contract requests, contract updates, and purchase order setup/management for the R&D team.
  • Monitor spending against key vendor purchase orders and prepare related tracking reports.
  • Support cross-functional initiatives and administrative work for clinical development, clinical operations, and biometrics, including detailed data tracking and coordination with external vendors when required.
  • Support document control and compliance-related record retention for the development group.
  • Coordinate internal and external meetings while handling sensitive information with discretion.

Office Operations

  • Act as the main contact for office needs, equipment upkeep, and vendor relationships while helping maintain a professional workplace.
  • Serve as the contact for office supply and service vendors and keep inventory levels monitored.
  • Coordinate onboarding logistics for new hires in Waltham, including workspace setup and collaboration with internal teams.
  • Assist with office events, team meetings, and company gatherings while ensuring the office remains organized and professional.

Qualifications

The ideal candidate should bring an associate’s degree or equivalent experience, along with at least 3 years of administrative work, preferably in biotech, healthcare, or another fast-paced setting. Success in this role requires strong organization, excellent attention to detail, the ability to juggle shifting priorities, a customer-focused mindset, and effective communication and interpersonal skills. Comfort with calendar tools, expense systems, and standard office software such as Microsoft Office Suite and Google Workspace is important. The team is also looking for someone who is collaborative and ready to step in wherever help is needed.

Compensation

The role offers a competitive package that may include base pay, equity, and a performance-based bonus. The expected hourly pay range is $35 to $50. Final compensation will depend on factors such as relevant experience, industry background, and education. Because the company operates across multiple states, the stated range may not apply to every location.

Location

This position is based in Waltham, Massachusetts, with onsite presence required 2–3 days per week.
