About the Role

The Biomedical Sciences department at Philadelphia College of Osteopathic Medicine is seeking a dedicated Administrative Assistant to work full time at the Moultrie campus. This role involves extensive support for key departmental operations including strategic planning, academic coordination, budgeting, reporting, and event management.

Primary Responsibilities

  • Assist in gathering and compiling necessary data to facilitate department functions such as strategic and academic planning, budgeting, and reporting.
  • Accurately input student and course information into relevant databases and systems in a timely manner.
  • Organize and attend departmental meetings, maintaining strict confidentiality, while preparing agendas and documenting minutes.
  • Support continuous improvement initiatives aimed at enhancing administrative processes and service quality.
  • Coordinate and manage all aspects of departmental event planning where applicable.
  • Carry out additional assigned duties relevant to the position.

Necessary Qualifications and Skills

  • A minimum of two years experience in an administrative support capacity, ideally within a higher education environment.
  • Strong computer skills including proficiency with word processing, spreadsheets, presentation software, email, and virtual meeting platforms—experience with Google Workspace or Microsoft 365 preferred.
  • Familiarity with Smartsheet is advantageous but not essential.
  • Exceptional customer service capabilities.
  • Effective planning and organizational aptitude.
  • Advanced critical thinking and problem-solving skills.
  • Excellent communication skills, both written and verbal, including interpersonal relations.
  • Ability to work collaboratively in a team setting.

Education Requirements

A high school diploma or GED is mandatory. Preferably, candidates will hold an Associate's or Bachelor's degree in business administration, liberal arts, or a related field.

Physical Requirements

  • Ability to sit for up to eight hours daily.
  • Capability to lift items weighing up to 25 pounds.
  • Capacity to maintain focus on computer screens for extended periods, up to eight hours a day.
  • Manual dexterity and mobility to adeptly use computers and other office equipment.

Salary and Additional Information

The starting hourly wage for this position is $17.72. The stated salary is reflective of the organization's good faith estimate at posting and may differ depending on geographic location, experience, education, market conditions, and skill level.
