Role overview

This is a permanent remote position for a virtual assistant based in the Philippines, working Australian day shift hours for a law firm. The role supports administration, communications, digital presence, and record management so the business stays organized and operates smoothly.

You will report to the Principal, Managing Lawyer, or Operations Lead as assigned. The working standard is precise, confidential, practical, and focused on results.

The engagement begins at 30 hours per week and may move into full-time status depending on performance. The pay rate is AUD 8–9 per hour.

What the role is meant to achieve

The main purpose of this position is to provide dependable administrative assistance, keep records orderly, and support professional social media and stakeholder communications. The goal is to help the firm maintain a consistent image and run efficiently.

Administrative support

  • Coordinate calendars, scheduling, meetings, presentations, note-taking, and document summaries.
  • Manage inboxes, task lists, and service enquiries by sorting and prioritizing them effectively.
  • Draft routine correspondence such as emails, memos, invoices, and reports.
  • Keep folders, files, registers, and records arranged in a clear and consistent system.
  • Search online for and confirm contact details such as phone numbers, email addresses, and stakeholder information.
  • Maintain spreadsheets and databases so information stays accurate, current, and consistently formatted.
  • Handle routine queries and escalate matters that need management or professional attention.
  • Support the team with general office work, document preparation, and other ad hoc administrative duties.

Social media and profile management

  • Create, plan, and schedule content across platforms including LinkedIn, Facebook, and Instagram in line with the firm’s tone, brand, and professional expectations.
  • Update or maintain business, client, or professional profiles as instructed.
  • Collaborate with internal team members to develop accurate and engaging posts, campaigns, and updates.
  • Monitor online discussions related to the firm, its services, its industry, and its reputation.
  • Track campaign results and report on metrics such as reach, engagement, impressions, enquiries, and leads.
  • Keep content calendars, asset folders, and campaign records well organized.

Stakeholder communication

  • Communicate professionally with stakeholders, service users, families, staff, advocates, suppliers, and other contacts when needed.
  • Use clear written communication and escalate sensitive, urgent, or unauthorized issues appropriately.
  • Protect confidentiality and use discretion when dealing with internal, client, or stakeholder information.

Key objectives and success measures

  • Administrative systems, files, records, and communications remain organized and up to date.
  • Online visibility across social and professional platforms stays consistent and professional.
  • Leadership and team members receive clear documents, summaries, reports, and correspondence.
  • Responsiveness to enquiries, stakeholders, and internal requests improves.

Required background and experience

Applicants must have prior experience in administration, virtual assistance, social media support, or communications support.

Desirable background

Experience supporting a law firm, professional services business, regulated organization, or client-facing service provider is an advantage. Familiarity with Canva, Meta Business Suite, LinkedIn, scheduling tools, email marketing tools, or CRM systems is also preferred.

Working style and additional details

This position is fully remote and intended for the Philippines. The schedule follows Australian day shift hours. The role starts at 30 hours per week and may become full-time based on performance. The client is a law firm. The person in this role must work independently, manage competing priorities, ask for clarification when needed, and consistently demonstrate sound judgment, confidentiality, and professionalism.

Compensation

The hourly rate is AUD 8 to 9, and the role is paid by the hour.
