About the Company
Farwell & Gervase is a premium holiday homes and short-term rental management business with origins in London and Europe, now operating in Dubai’s high-end property market. The company oversees more than 70 units in prime locations such as Emaar Beachfront, Dubai Marina, Downtown Dubai, and Creek Harbour, with a focus on delivering exceptional guest stays and strong returns for property owners.
About the Role
The company is hiring a highly organised Operations Admin for its Dubai office. This is a full-time, on-site position that plays an important role in the daily running of a growing portfolio of luxury holiday homes.
You will work alongside the Senior Admin Officer to keep operational and administrative workflows running efficiently across the portfolio. The position is structured, fast-moving, and especially busy during peak check-in periods, so it suits someone dependable, accurate, and capable of handling several tasks at once without losing track of details.
Key Responsibilities
- Handle guest check-ins and check-outs each day through the DTCM portal.
- Complete building check-in processing across the portfolio using property management portals.
- Share correct and timely check-in details with the team via Slack.
- Arrange AC servicing across all units on a six-month cycle.
- Organise periodic deep cleaning of furniture in all managed properties.
- Process the monthly DTCM tourism fee payment accurately and within deadlines.
- Enter incoming maintenance and cleaning invoices for initial review by senior management.
- Keep Property Finder availability updated across the portfolio on an ongoing basis.
Working Hours
The schedule is six days per week, from 8:30am to 6:30pm, and the role is based in the office in Dubai.
Requirements
- A bachelor’s degree in any field is required.
- Professional-level spoken and written English is essential.
- At least 2 years of experience in holiday homes, short-term rentals, or property management is needed.
- Previous use of Hostaway or a similar property management platform is expected.
- Strong working knowledge of Slack and Google Workspace, including Sheets, Docs, Gmail, and Drive, is required.
- You must be extremely organised and careful with details.
- The role requires the ability to juggle multiple priorities during busy periods, including up to 30 check-ins a day in peak season.
- You should be comfortable working with limited supervision and taking ownership of tasks.
- Professionalism, reliability, and consistency in communication are important.
- Knowledge of Dubai property or tourism regulations and DTCM procedures is preferred; training will be provided where necessary.
- Prior experience in a fast-paced administrative or operations role in Dubai is an advantage.
