Job Overview
The Accounts Payable (AP) Specialist is responsible for executing specialized accounting tasks within the accounts payable domain, supporting month-end close processes, reconciling general ledger accounts, and assisting with year-end audit responsibilities under the guidance of the Senior AP Specialist.
Key Duties and Responsibilities
- Ensure prompt and accurate preparation and processing of payments.
- Review and validate purchase orders, statements, and invoices necessary for payment processing within designated systems.
- Reconcile invoices and account balances, identifying and resolving any inconsistencies.
- Provide assistance to the Accounting Manager and Finance team for various inquiries, projects, and documentation support.
- Establish and maintain internal customer accounts related to payables.
- Collaborate with vendors and company personnel to address account processing issues.
- Work alongside the Accounting Manager and Assistant Controller to manage vendor credit arrangements.
- Maintain balance on assigned ledger accounts.
- Recommend necessary adjustments and aid in journal entry support as needed.
- Contribute to month-end closing procedures within the accounting system.
- Ensure proper application and maintenance of proofs and checks.
- Research and interpret financial data to respond to accounting and finance-related inquiries.
- Assist in preparing key reporting metrics related to accounts payable.
- Safeguard company values by maintaining strict confidentiality of information.
Qualifications
- A minimum of three years' professional experience in accounts payable, general ledger, and financial accounting functions.
- Proficient working knowledge of Microsoft Excel at an intermediate level.
Additional Requirements
- Successful completion of a pre-employment drug screening and background check.
- Capability to obtain an Airport Issued security badge.
Work Environment and Physical Demands
- The role is predominantly indoors in a climate-controlled setting.
- Requires sitting for 6-8 hours daily.
- Occasional lifting or carrying of items weighing up to 50 pounds.
- Continuous clear vision needed for reading printed materials and computer screens.
- Frequent repetitive movements involving wrists, hands, and fingers.
- Constant requirement for clear speech and hearing to communicate effectively.
