Role Summary
This part-time, remote Account Specialist position is responsible for supporting student and family accounts across the admissions consulting process. The role involves handling client communication, coordinating and confirming appointments, monitoring service milestones, and keeping internal records accurate and up to date.
The position also includes oversight of account-related financial activity such as invoicing, payment monitoring, and resolving billing-related questions with internal teams. In addition, the Account Specialist will answer student and family inquiries, share timely updates, and follow up proactively to protect client relationships and maintain high satisfaction. The role works closely with counselors, researchers, and leadership to improve operational efficiency, prepare reports, and suggest better ways to manage accounts.
Key Duties
- Manage multiple student and family accounts and keep each engagement on track.
- Coordinate communication with clients and internal team members.
- Schedule, confirm, and track meetings and other service milestones.
- Maintain accurate documentation in internal systems.
- Monitor invoicing, payments, and other billing activity tied to client accounts.
- Address billing questions and resolve account issues with the appropriate stakeholders.
- Respond to inquiries from students and families in a timely, professional manner.
- Follow up regularly to support strong client relationships and service quality.
- Partner with counselors, researchers, and leadership on operational tasks and process improvements.
- Prepare reports and help refine account management workflows.
Qualifications
- Experience managing accounts and coordinating work across multiple stakeholders.
- Strong written and verbal communication skills with a customer-focused approach.
- Good analytical ability for reviewing account information and spotting trends.
- Working knowledge of billing, invoicing, payment tracking, and reconciliation basics.
- Capability to work independently in a remote, part-time setting.
- Strong organization and time management skills.
- Comfort interacting with students and families from varied cultural and educational backgrounds.
- Prior exposure to education or admissions work is an advantage.
- Familiarity with office software, CRM tools, online scheduling, and collaboration platforms.
- Associate’s or Bachelor’s degree in Business, Education, Communications, or a related discipline, or equivalent relevant experience.
