Role Overview
Working under the supervision of an Account Executive, the Account Coordinator plays a vital role in supporting media relations for a diverse set of international clients. This entry-level position involves managing coordination across multiple accounts, assisting in media outreach, participating actively in client and team discussions, and representing the agency at client events.
Key Responsibilities
- Assist account teams by executing press and influencer communication strategies.
- Manage scheduling for press appointments and client meetings.
- Compose agendas and summaries for client consultations.
- Generate weekly, monthly, and final reports detailing activities and media interactions for clients.
- Update and maintain media, influencer, industry, and client contact databases including Muck Rack and internal trackers.
- Organize and archive documents, images, captions, and press materials using Google Drive.
- Coordinate sending of promotional gifts to media and influencers.
- Monitor and record daily media coverage across digital, print, and social platforms relating to clients.
- Supervise interns in preparing press clippings and ensure timely delivery; perform clipping tasks when interns are unavailable.
- Report media coverage and social media mentions regularly to clients.
- Create comprehensive end-of-year coverage reports or as requested.
- Research and keep updated editorial calendars for major print outlets.
- Review HARO (Help A Reporter Out) reports daily and identify opportunities relevant to clients.
- Conduct ongoing distribution of press releases and marketing materials to media and influencers.
- Coordinate media outreach for events and manage event invitations.
- Maintain RSVP lists and attend client events to manage guest check-ins.
- Provide accurate final attendee counts following events.
- Train and oversee interns to support administrative and account-related responsibilities.
Working Environment
Employees based in the NYC Metro Area are expected to work onsite as client and team needs dictate. Those outside NYC may primarily work remotely but may need to travel for meetings and events. Regular travel to client events is frequent and occasional work outside normal hours may be required. Daily use of digital collaboration tools such as Google Suite, Canva, and Slack is mandatory for team communication and workflow.
Qualifications and Requirements
- Bachelor's degree (B.A.)
- Previous internship experience in public relations.
- Capacity to work autonomously and handle multiple tasks concurrently.
- Excellent verbal and written communication skills.
- Strong organizational abilities and attention to detail, particularly in data entry and managing databases.
- Proficient with Mac OS, Google Suite, Microsoft Office, Keynote, Muck Rack, and Canva.
- Knowledge of an additional language is advantageous.
