Role overview
The Access to Care Advisor will join an integrated UPMC healthcare team focused on making patient access simpler and smoother. In this role, you will support the Theatre Scheduling Team, where scheduling is treated as a vital operational function that helps hospital services run efficiently, supports patient care, and contributes to financial and strategic objectives.
Work location and employment details
This position is based at Cleaboy Business Office, Unit 4 in Waterford, County Waterford, Ireland. The role is permanent and onsite.
Key responsibilities
- Manage the registration, insurance validation, and scheduling process for inpatient, day case, and sideroom procedures across several specialties.
- Book patients in line with hospital scheduling policies and the clinical team’s assessment of urgency.
- Work out any excess, co-pay, or shortfall connected to a patient’s procedure.
- Contact patients about charges, self-pay pricing, payment options, and booking-related information.
- Keep current on the clinical requirements of each specialty so that bookings are arranged correctly.
- Coordinate with consultants, medical secretaries, and the pre-assessment team to ensure patients are successfully scheduled.
- Review theatre lists each day to spot gaps or overbookings and escalate issues to the clinical team when needed.
- Keep patients informed about procedure dates and help ensure they are properly prepared.
- Verify patient identity in line with hospital and accreditation requirements.
- Produce and update accurate scheduling records and reports, including data entry into theatre and patient administration systems.
- Identify and escalate any risks or delays that could affect patient safety.
Requirements
- Good knowledge of hospital processes, especially theatre or outpatient scheduling.
- Ability to handle detailed information, juggle multiple tasks, and meet deadlines.
- Fluency in English, both written and spoken.
- Eligibility to live and work in the EU.
- Strong people skills and the ability to build positive working relationships across different teams.
- Clear verbal and written communication skills.
- Strong analytical thinking and the ability to understand the consequences of decisions.
- Proven ability to prioritise work and stay effective under pressure and tight deadlines.
- Self-motivation with the ability to contribute both independently and as part of a team.
- Results-oriented approach with practical problem-solving ability.
- Previous administrative experience in a healthcare setting is preferred.
- Experience using patient administration systems such as IPMS is desirable.
- Strong administrative and organisational capability is desirable.
- Ability to communicate effectively with managers, consultant staff, colleagues, and patients is desirable.
- Comfort working in a fast-moving, customer-focused environment is desirable.
- Understanding of patient confidentiality is desirable.
- Ability to work well in a multidisciplinary team is desirable.

Additional information
Salary is listed as EUR 30,500.00 to EUR 45,878.00 per annum, based on a 39-hour week.
