The Scheduling Clerk functions as the subject matter expert responsible for managing staff schedules, coordinating relief and on-call shifts, and maintaining accurate records. The role collaborates closely with leadership to ensure scheduling aligns with collective agreement rules, aiming to optimize workforce allocation, minimize overtime, and reduce dependence on agency staffing.
Responsibilities
- Coordinate and maintain daily staff schedules and relief shifts.
- Manage on-call shift assignments and perform relevant data entry and record keeping.
- Work with leadership to ensure scheduling complies with collective agreements.
- Develop cost-effective workforce schedules.
- Exercise independent judgment in setting work priorities and dealing with unusual issues.
Requirements and Qualifications
- Minimum one year experience using electronic employee scheduling systems.
- At least three years of experience in a healthcare environment.
- Completion of grade twelve education or equivalent; preference for candidates trained on ESP scheduling software.
- Proficiency in Microsoft Excel, Outlook, and Teams.
- Knowledge of collective agreements and office equipment operation.
- Strong oral and written communication skills.
- Ability to work collaboratively in interdisciplinary teams and independently with minimal supervision.
- Analytical problem-solving skills and ability to manage competing priorities under tight deadlines.
- Demonstrated respect for cultural diversity and confidentiality in all forms.
- Valid Class 5 driver’s license with access to insured vehicle and minimum liability coverage of $1,000,000.
- Physical and mental capability to meet job demands; occasional evening or weekend work and travel to regional sites may be required.
Additional Information
The position is temporary, full-time (1.0 FTE) based at the Altona Community Memorial Health Centre with anticipated mutually agreed start date. The annual base hours are 2015. Salary will be provided as per agreement. Applicants must complete satisfactory criminal record checks and provide three professional references.
