About the Role
Boomarang Bistro & Bar seeks a proactive and meticulously organised Marketing, Events & Operations Coordinator to assist with the daily marketing efforts, event coordination, and operational tasks within our dynamic sports bar environment. This role demands a hands-on approach from someone familiar with hospitality, sports enthusiasm, and the fast tempo of a high-traffic venue.
Key Responsibilities
- Manage Boomarang's marketing calendar encompassing social media channels, on-site digital displays, website content, email campaigns, and promotional assets.
- Identify notable sports fixtures and relevant hospitality occasions to enhance weekly and monthly marketing initiatives.
- Collaborate with management to advertise key sporting events, food and beverage specials, family-friendly activities, and venue events.
- Develop detailed briefs and coordinate with designers, photographers, social media consultants, and external collaborators to create content.
- Ensure timely publication of all marketing materials while maintaining brand consistency and accuracy.
- Refresh sports event schedules, website updates, menus, posters, digital screens, and other customer-facing items.
- Capture simple photo and video content regularly within the venue.
- Actively identify upcoming opportunities and suggest innovative ideas to boost bookings, foot traffic, and client engagement.
- Handle enquiries for events, functions, and group bookings promptly and professionally.
- Collect event requirements, formulate tailored proposals, and coordinate all booking specifics including minimum spends, deposits, menus, timings, and seating arrangements.
- Maintain accurate logs of enquiries, confirmed bookings, and follow-ups.
- Work closely with kitchen, venue management, and front-of-house to ensure thorough event planning and smooth transitions.
- Prepare event briefs and operational run sheets for staff.
- Assist in delivering private events, corporate functions, sports gatherings, and larger match-day bookings.
- Follow up post-events to identify prospects for repeat engagements.
- Assist with the implementation, administration, and continuous management of the SevenRooms booking system.
- Ensure accuracy in booking policies, table layouts, customer notes, communications, and event details within systems.
- Train staff on correct usage of SevenRooms and related reservation processes.
- Analyze booking trends, customer insights, and system efficiency to recommend enhancements.
- Support menu revisions, printing, signage, promotional materials, and other venue requirements.
- Liaise with printers, suppliers, and third-party service providers.
- Manage errands, deliveries, collections, and various operational tasks as needed.
- Contribute to broader group operations projects when required.
- Maintain orderly documentation, templates, tracking tools, and shared folders to ensure easy access to information.
Candidate Profile
- Previous experience in food and beverage marketing, event coordination, function management, or operations within hospitality.
- Passion for sports and understanding of how major sporting events can drive customer volume.
- Strong written communication skills, capable of professional interactions with customers, suppliers, and internal teams.
- Excellent organisational abilities, dependable, and adept at juggling multiple deadlines.
- Self-motivated, capable of owning tasks and seeing them through without constant supervision.
- Comfortable adapting in a fast-paced venue environment with shifting priorities.
- Keen attention to detail, particularly in managing booking data, event specifics, menus, and promotional materials.
- Willingness to assist with both administrative coordination and hands-on venue activities.
- Familiarity with booking platforms, CRM software, Canva, social media scheduling tools, or hospitality systems is advantageous.
- Experience with SevenRooms is highly desirable but not mandatory.
- Flexibility to occasionally work beyond standard hours, especially during major sports events or functions.
Additional Information
This position is suited for junior candidates with hospitality marketing, events, or operations coordination experience. Senior marketing expertise is not required, but the ability to independently manage responsibilities and multiple tasks is essential.
