Logistics Officer

About the Role

The Logistics Officer is tasked with overseeing and facilitating logistics processes to guarantee the punctual and efficient transfer of goods, equipment, supplies, and services. This involves collaboration with internal divisions as well as external suppliers, service providers, and other relevant parties to fulfill operational needs following established procedures, timelines, budget limits, and quality requirements.

Responsibilities

• Manage transportation, delivery, collection, and distribution of materials, equipment, and supplies.
• Develop and maintain logistics plans, schedules for deliveries, and operational checklists.
• Ensure all logistics demands are arranged and completed within set deadlines.
• Provide logistics assistance for meetings, official visits, events, projects, and ongoing operations.
• Track material and equipment movement from requisition through to delivery.
• Coordinate with suppliers, transporters, warehouses, and service providers.
• Monitor purchase orders, deliveries, invoices, and completion of services.
• Confirm that delivered goods and services adhere to approved specifications and quantities.
• Report any supplier delays, shortages, damage, or quality issues to relevant stakeholders.
• Assist in monitoring supplier performance and ensure supplier records are properly maintained.
• Prepare and manage logistics documentation including delivery notes, receiving reports, inventory records, and tracking sheets.
• Maintain accurate and comprehensive records of all logistics transactions.
• Generate regular reports on deliveries, inventory status, outstanding requests, supplier performance, and operational concerns.
• Update logistics trackers and supply timely updates to management and departments.
• Ensure documentation complies with internal policies and audit standards.
• Offer logistics support for events and emergency situations.
• Identify and suggest solutions for potential logistics risks and contingency planning.
• Rapidly respond to urgent operational needs.
• Liaise with security, facilities, transportation, administration, and other teams.
• Perform additional logistics and operational duties as assigned by management.

Qualifications

• Bachelor’s degree in Logistics, Supply Chain Management, Business Administration, Operations Management, or related areas.
• Possession of professional certification in logistics, supply chain, procurement, or inventory management is beneficial.
