Overview
This role is responsible for overseeing the comprehensive operation and upkeep of all organizational facilities and office environments to ensure optimal functionality and safety.
Core Responsibilities
- Manage the overall operation and maintenance of company properties including offices and workplace settings.
- Implement and supervise preventive as well as corrective maintenance schedules for all facilities.
- Regularly evaluate facility conditions ensuring adherence to safety, quality, and operational standards.
- Address and resolve any facility-related issues promptly and effectively.
- Oversee performance and upkeep of all building systems such as Mechanical, Electrical, Plumbing (MEP), HVAC, electrical distribution, backup generators, UPS, fire safety, and automation systems.
- Lead planning and execution of workplace configurations, office setups, renovations, relocations, and space utilization projects.
- Ensure seamless workplace experience for both employees and visitors by managing services including reception, meeting spaces, pantry areas, parking, supplies, and common zones.
- Manage facility assets life cycle encompassing inventory management and replacement plans.
- Supervise relationships and performance of all facility-related vendors, suppliers, and service contractors.
- Lead contract negotiations, renewals, and service agreement oversight ensuring adherence to service level agreements, quality benchmarks, and budget limits.
- Coordinate with external contractors for maintenance work, fit-out projects, and general facility initiatives.
- Oversee workplace support services such as housekeeping, cleaning, landscaping, pest management, waste disposal, hospitality, and related services.
- Ensure strict compliance with health, safety, and security protocols.
- Lead safety initiatives and emergency preparedness programs in the workplace.
- Conduct routine inspections, risk evaluations, and compliance audits of facilities.
- Maintain all necessary certifications, licenses, and statutory requirements current and valid.
- Drive facility sustainability efforts including energy efficiency, water conservation, waste management, and aligning with environmental regulations.
- Manage facility improvement projects including office expansions, refurbishments, and relocations from planning stages through implementation.
- Collaborate with stakeholders internally and externally for smooth project execution.
- Identify and implement operational improvements and cost optimization strategies to enhance workplace environment and reduce expenses without sacrificing quality.
- Prepare and oversee the annual facilities budget with continual monitoring of expenditures to maintain cost-efficiency.
- Develop detailed reports on facility performance covering efficiency, service delivery, cost, risk management, compliance, and enhancement actions.
- Serve as principal facility liaison internally and externally including managing relationships with building owners and complying with lease and building policies.
Education & Experience Requirements
- Bachelor’s degree in Facilities Management, Engineering, Business Administration, or a closely related discipline.
- Minimum of 3 to 5 years’ experience managing facility operations and workplace environments.
- Proven expertise in vendor and maintenance management as well as workplace projects.
- Comprehensive knowledge of health and safety regulations and compliance requirements.
- Demonstrated capability in maintaining and enforcing health & safety standards.
