About Group Administration

The group's administration division oversees and manages administrative operations across all business verticals to ensure efficiency, regulatory compliance, and smooth coordination.

Job Purpose

The Executive - Hospitality position plays a vital support role within the Admin Operations team, reporting to the Site Admin Lead. The incumbent will manage various administrative tasks, liaise with service vendors, maintain accurate documentation, assist in facility upkeep, and help coordinate site events and meetings. This role ensures timely service execution and contributes towards sustaining high employee satisfaction in administrative functions.

Responsibilities

  • Manage daily administrative activities such as scheduling meetings, coordinating calendars, and handling correspondence.
  • Coordinate with vendors to ensure prompt delivery of required services and report any service-related issues to supervisors.
  • Maintain organized records for operational processes including service contracts, invoices, and regulatory compliance documents.
  • Assist in maintaining site facilities by handling minor repairs and escalating major issues appropriately.
  • Monitor site-level budgets by documenting expenditures and ensuring financial compliance within approved limits.
  • Provide on-site employee support by addressing general queries and facilitating smooth interaction with site services.
  • Track service delivery performance, identify delays or problems, and notify higher management accordingly.
  • Plan and coordinate logistics for meetings, training sessions, and events including room bookings, catering, and equipment setup.
  • Compile regular operational reports detailing site functions, service quality, and opportunities for improvement.

Key Interactions

Internal Stakeholders: Group Admin Head, Group Admin Governance Team, Business Unit/Site Chief Procurement Officers, Business Heads/CEOs, Site Admin Heads, Security Heads, HSE Heads.

External Stakeholders: Service Providers and Local Government Agencies.

Qualifications

  • A Bachelor's degree in Business Administration, Facilities Management or a related discipline is required.
  • Master's degree (MBA or equivalent) or certification in Facilities Management (IFMA or BIFM) is preferred.
  • Minimum 5 years experience in corporate administration or facilities management.
  • 3 to 5 years of leadership exposure handling large-scale facilities, budgets, and cross-team collaboration in sizable organizations.
