Role Overview
This opportunity represents a unique chance to join during a pivotal growth phase. As a small, agile company, Outlook Therapeutics offers vast responsibility and visible impact. The Executive Assistant to the C-Suite will act as a force multiplier for senior leadership during this critical period by anticipating needs, managing priorities, and streamlining operations in a fast-paced launch environment. This position extends beyond calendar management to orchestrating the company's operational rhythm.
Key Responsibilities
- Manage complex and dynamic calendars for multiple C-level executives, prioritizing according to company goals.
- Proactively identify and resolve scheduling conflicts, prepare required documents, and handle logistics before issues arise.
- Oversee executive inboxes, communications, and action follow-ups with sound judgment regarding urgency and delegation.
- Coordinate leadership meetings, board sessions, and investor interactions including agenda creation, material preparation, minute taking, and tracking action items.
- Maintain company operating rhythm including regular reviews, offsites, and cross-departmental planning initiatives.
- Create and refine presentations, briefing documents, and pre-reads tailored for executive audiences.
- Organize complex travel plans domestically and internationally, covering conferences, launches, and field activities.
- Plan and manage team onsite and offsite events and gatherings from start to finish.
- Process expense reports, purchase orders, and vendor coordination accurately and timely.
- Serve as a reliable liaison among executives, employees, board members, and external parties.
- Maintain strict confidentiality handling sensitive corporate, financial, and personnel details.
- Develop and enhance administrative processes and tools supporting a lean, rapidly moving organization.
Required Qualifications
- Minimum of five years providing executive support, including direct assistance to C-suite leaders.
- A forward-thinking and proactive approach that anticipates needs and acts independently.
- Excellent organizational skills with the ability to prioritize numerous urgent and competing tasks.
- Impeccable discretion and sound judgment when managing confidential information.
- Strong written communication skills and proficiency with calendaring, collaboration, and productivity software.
Preferred Qualifications
- Background in biotechnology or pharmaceutical industries.
- Experience working in fast-paced commercial launch environments with ambiguous dynamics.
- Exposure to board governance and investor relations support.
- Bachelor’s degree or equivalent experience.

- Competitive base salary ranging from $90,000 to $130,000 annually plus a 10% performance bonus target.
