Role overview
This contract role supports senior leaders and provides administrative coordination for an IT organization within a banking or fintech environment. Relevant exposure to banking or fintech is required, and prior experience assisting at least two business heads is essential.
Key responsibilities
- Keep Outlook calendars organized by arranging meetings and appointments.
- Handle incoming calls by screening them and routing them to the appropriate people.
- Coordinate travel bookings and process expense claims.
- Prepare meeting minutes during management discussions.
- Organize internal events such as town halls and brown bag sessions when needed.
- Manage the full onboarding and offboarding process for IT resources in a timely way.
- Maintain desk and locker allocations for the IT organization.
- Update the department organization chart.
- Support invoice processing while following IT financial governance requirements and accounting policies.
- Track and manage month-end time booking for management team members.
Requirements
- At least 5 years of experience working as a personal assistant or administrative assistant.
- Background in banking or fintech is mandatory.
- Previous support experience for two or more business heads is required.
- Strong coordination abilities and the capacity to manage multiple tasks at once.
- Hands-on proficiency with Microsoft Outlook Calendar, Excel, and PowerPoint.
