Role Overview
The Executive Assistant supporting Caremark Member & Clinical Operations plays a crucial role assisting senior leadership with a broad spectrum of administrative duties. Key tasks include managing complex schedules, drafting presentations, handling official communications, and ensuring seamless collaboration across various teams and stakeholders. The position mandates a proactive mindset to manage confidential data, organize meetings and events, and maintain operational efficiency. Additional duties involve coordinating travel, managing expenses, onboarding new team members, and aiding special projects. This role allows for remote work nationwide, with a preference for candidates based in Scottsdale, Dallas, Woonsocket, Hartford, or Northbrook. Reporting directly to the Senior Vice President, this position serves as a trusted liaison to ensure leadership priorities are executed efficiently.
Key Responsibilities
- Coordinate intricate calendars and organize meetings, including scheduling, logistical support, agenda planning, and preparation of materials.
- Arrange travel plans and process expense reports while ensuring budget adherence and company compliance.
- Manage logistics for large-scale onsite and offsite meetings and events such as catering, accommodation, and technical setups.
- Facilitate onboarding processes for new hires, including equipment and orientation coordination, along with managing employee offboarding.
- Serve as a primary contact for urgent business matters, escalating issues as needed for prompt resolution.
- Oversee and prioritize incoming correspondence and workflows, directing matters to relevant teams appropriately.
- Safeguard confidentiality of sensitive business information.
- Create and modify presentations, spreadsheets, and relevant documents using Microsoft Office tools.
- Support leadership in project coordination, tracking deliverables, and monitoring outcomes.
- Prepare, track, and analyze budgets associated with cost centers, including expense reporting.
- Lead or assist with cross-departmental special projects to ensure successful implementation.
- Provide backup assistance for fellow executive assistants to guarantee consistent leadership support.
- Uphold a professional and positive impression through effective communication with internal and external stakeholders.
Qualifications
- A minimum of seven years’ experience as an Executive or Administrative Assistant supporting senior executives within a large, matrixed organization.
- At least five years of advanced proficiency in Microsoft 365 applications, including Outlook, Word, Excel, PowerPoint, and Teams.
- High School Diploma or equivalent (GED).
- Preferred experience in healthcare or Pharmacy Benefit Management (PBM) sectors.
- Excellent organizational and time management capabilities.
- Strong verbal and written communication skills combined with interpersonal aptitude.
- Ability to manage confidential and sensitive information responsibly.
- Independent problem-solving acumen and proactive work ethic.
- Adaptability to shifting priorities and tight deadlines.
