Role Overview and Responsibilities
As an Executive Assistant, you will provide vital support to the Managing Director (MD) and contribute to corporate services and CSR initiatives.
- Deliver comprehensive support to the MD by managing calendars proactively, resolving scheduling conflicts, and prioritising appointments effectively.
- Handle confidential communications, expense claims, travel arrangements, and preparation of meeting materials accurately and discreetly.
- Organise meetings including agenda creation, minute-taking when required, and tracking of action points to ensure deadlines are met.
- Serve as the primary contact point between the MD and both internal teams and external stakeholders, maintaining professional, responsive, and confidential communication channels.
- Assist with presentations, reports, research, administrative tasks, and special projects as assigned.
- Coordinate travel, lodging, airport transfers, and local transport logistics for visiting guests and regional leaders, including the preparation of detailed itineraries and onsite hospitality support.
- Manage incoming mail distribution promptly to respective departments.
- Provide administrative assistance to Heads of Departments (HODs) including claims submissions, documentation, and data compilation.
- Ensure timely responses to emails and inquiries, adhering to a service turnaround of within three working days.
- Oversee processing and monitoring of Corporate Services-related invoices such as those for travel, fuel, and photocopying.
- Prepare reports, presentations, and necessary documents related to Corporate Services activities.
- Assist with travel bookings and logistics coordination for HODs.
- Support the planning and execution of Corporate Social Responsibility (CSR) programs, including administration and event participation as needed.
- Process and monitor CSR-related invoices and claims to maintain proper documentation standards.
- Perform additional duties as assigned to support department and organisational objectives.
Candidate Profile
- Possess a Diploma or Degree in Business Administration or a closely related discipline.
- Have 2–4 years of experience in administrative or executive support roles; fresh graduates are encouraged to apply.
- Demonstrate excellent organisational and time management skills with the ability to prioritise tasks effectively.
- Exhibit strong communication and interpersonal abilities, with professionalism and high discretion.
- Be proficient in Microsoft Office suite including Word, Excel, PowerPoint, and Outlook.
- Capable of managing various responsibilities independently in a fast-paced environment.
- Detail-oriented with strong problem-solving skills.
- Maintain a positive attitude, collaborate well within teams, and contribute to a cooperative work environment.
