Job description

Job Overview

This position is responsible for managing employee administrative requests, coordinating with multiple departments on personnel matters, and ensuring the accuracy and confidentiality of employee records and files. The role includes monitoring leave balances, probation periods, and attendance, as well as preparing various employee-related documents.

Key Responsibilities

  • Keep employee personal information and records updated and accurate.
  • Manage and update leave balances for all employees.
  • Track and follow up on probation periods for employees.
  • Generate employment verification letters, administrative decisions, and end-of-service certificates.
  • Enforce administrative sanctions and issue warning letters according to company policies.
  • Maintain personnel files diligently and ensure they are up to date.
  • Receive, process, and manage follow-ups on administrative requests from employees.
  • Monitor absences and late arrivals, ensuring timely follow-up.
  • Organize employee request forms and associated documentation.
  • Prepare weekly and monthly reports related to employee affairs.
  • Coordinate employee matters across various departments.
  • Conduct exit and entry interviews to analyze reasons for employee resignations.
  • Perform additional duties as directed by supervisors.
  • Adhere to safety and environmental standards during duty execution.

Communication

Internal communications include direct coordination with the Employee Affairs Section Head, department managers, and all employees. External contacts involve training institutes, hospitals, and embassies.

Qualifications and Skills

  • Diploma or an equivalent qualification.
  • At least two years of experience in Human Resources, specifically in Employee or Personnel Affairs.
  • Minimum two years of practical experience using SAP software.
  • Competency in English, both written and verbal.
  • Proficient in Microsoft Office applications.
  • Strong interpersonal and communication abilities.
  • Excellent organizational and time management skills.
  • Team player with a good sense of confidentiality and professionalism in handling employee information.
