Job Overview
The Documentation Specialist plays a critical role in maintaining personnel records by systematically uploading files into the agency's database and securing copies on compact discs for review. This position involves requesting previous service records from the National Personnel Records Center and may require flexibility to work additional shifts during high-volume periods including evenings and weekends.
Key Responsibilities
- Retrieve cases and folders containing multiple documents, ensuring no page exceeds two images
- Remove staples and prepare documents for copying
- Photocopy documents with adjusted settings to ensure clarity
- Repair documents when necessary for accurate scanning
- Evaluate document contents to verify appropriateness for official records
- Classify documents into Administrative, Performance, Legal, or Policy categories
- Identify and mark duplicate document copies
- Re-staple and securely organize documents in folders
- Refile documents and folders accordingly
Qualifications
- Minimum of two years experience in records management
- At least one year of data entry experience
- High school diploma required
- Proficient with Microsoft Office applications
- Strong customer service aptitude
Specialized Knowledge
- In-depth understanding of federal human resource duties and service record management from National Archives and other agencies
- Experience in records management oversight, including assessments, analysis, and inventory control
