Depot Stock Keeper

Position Overview

The Depot Stock Keeper role involves overseeing and managing inventory within the assigned depot at Jawa International Limited, located in Kano, Nigeria. Reporting directly to the Depot Manager, this full-time position is based in the Supply Chain and Logistics department. The candidate must reside in Kano and be responsible for accurate management of pharmaceutical and other depot products, ensuring proper storage, recording, and availability for distribution.

Primary Duties

• Receive incoming products and verify quantities against delivery and transfer documents.
• Carry out inspections for product quantity, batch numbers, expiry dates, and condition before acceptance.
• Keep accurate and current records of stock movements including receipts, issues, returns, damages, and adjustments.
• Store products properly in line with company policies and pharmaceutical standards.
• Implement FEFO (First-Expiry, First-Out) and FIFO (First-In, First-Out) stock rotation methods.
• Issue stock strictly against authorized documents.
• Record all stock movements promptly in ERP systems or approved registers.
• Monitor daily stock movements to identify discrepancies between physical and system records.
• Conduct routine physical stock counts and participate in monthly, quarterly, and annual inventories.
• Reconcile physical stock with system balances and investigate variances.
• Monitor and report stock nearing expiry and segregate damaged or obsolete stock in accordance with procedures.
• Ensure no stock leaves or enters without proper authorization and documentation.
• Maintain depot organization, cleanliness, and security to support safe storage conditions.
• Support audit and verification processes by internal and external parties.
• Prepare routine stock reports for management review.
• Maintain confidentiality and custody of inventory documentation.
• Perform additional inventory or warehouse functions as assigned by management.

Qualifications and Experience

• Holders of B.Sc., HND, or OND degrees in Accounting, Supply Chain Management, Logistics, Business Administration, Purchasing & Supply, Economics, or related disciplines.
• Professional certifications in Supply Chain, Inventory Management, or Logistics are advantageous.
• Possess 2 to 3 years of experience in stock keeping, warehouse operations, or inventory control, preferably in pharmaceutical, FMCG, or manufacturing sectors.
• Familiarity with ERP systems such as SAP, Tally ERP, or Sage is a plus.

Required Skills and Competencies

• Understanding of inventory, warehouse, and stock control principles.
• Knowledge of stock reconciliation processes and inventory documentation.
• Familiarity with FIFO and FEFO stock management concepts.
• Awareness of pharmaceutical product storage and handling norms.
• Strong numerical aptitude and analytical capability.
• Attention to detail and high accuracy in record keeping.
• Proficiency with Microsoft Excel and ERP software.
• Effective organizational, communication, and interpersonal abilities.
• Ability to independently resolve stock discrepancies and meet deadlines.
• Capacity to work under pressure with minimal supervision.
