Job Summary
The Crew Records, Training, and Scheduling Specialist is tasked with managing and auditing records for Pilots and Flight Attendants to maintain strict compliance with regulatory standards. This position monitors crew credentials, organizes mandatory training sessions, and facilitates communication between various training departments and operational units.
Key Responsibilities
- Accurately maintain and audit training records for Pilots and Flight Attendants to guarantee regulatory adherence and data integrity.
- Track crew qualifications and coordinate all necessary training activities, including Initial Operating Experiences (IOE) and check rides, in accordance with FAA rules.
- Prepare and distribute schedules for Instructors and Air Transportation Instructors within NOC and related systems.
- Act as a subject matter expert and user for QTMS (MINT) and other training record management software.
- Follow defined procedures and controls to protect the accuracy of records, ensure regulatory compliance, and maintain crew certification currency.
- Provide consistent updates to management, administrative staff, and company leadership regarding the status of crew qualifications.
- Serve as a communication bridge between Flight Operations Training, Inflight Training, other corporate divisions, and outside training organizations.
- Arrange and communicate travel requirements linked to crew training events when necessary.
- Assist with internal and external training audits, including those conducted by FAA, DoD, IOSA, and IAP.
- Collaborate with internal partners to optimize training event scheduling.
- Maintain proactive engagement with instructors, check pilots, and crew to communicate upcoming training plans.

Qualifications
- Bachelor’s degree in Business, Administration, Aviation, or a related discipline, or equivalent practical experience.
- Minimum of four years’ background in crew scheduling, training coordination, record management, or a similar function.
- Flexibility to accommodate a rotating work schedule, including shift work during nights and weekends.
- Excellent verbal and written communication capabilities with cross-departmental interaction skills.
- Ability to handle pressure, meet deadlines, and adjust to shifting priorities effectively.
- Exceptional attention to detail combined with strong organizational and time management proficiency.
- A self-motivated professional with a positive approach and commitment to success.
- Competence in independently managing projects with limited oversight.
- Must be at least 18 years old.
- Proficiency in English – reading, writing, speaking, and comprehension.
- Legal authorization to work in the United States as per the Immigration Reform Act of 1986.
Preferred Skills and Experience
- Knowledge and understanding of FAA regulatory frameworks Part 121 N&O and FAR117.
- Experience with electronic record-keeping and scheduling platforms.
Technical Skills
- Proficient user of Microsoft Office applications.
- Strong problem-solving abilities.
- Ability to collaborate effectively across organizational levels.

Physical and Work Environment
- Extended periods of desk work requiring computer use.
- Regular manual tasks such as typing, document handling, and operating typical office equipment.
- Occasional lifting of items up to 15 pounds.
