Position Overview
This role supports store operations and the brand team whenever needed, helping keep coordination smooth across different departments within the group.
Core Responsibilities
- Carefully review freight invoices and verify them against quotations, including duty amounts versus declared value.
- Maintain and refresh the master file with freight charges, duty payments, and other required information.
- Compile invoices, HS code summaries, and DA/CO applications, ensuring the details are accurate and concise.
- Arrange shipments with multiple vendors while securing the most suitable available rates.
- Track overseas shipment records, coordinate customs clearance, and plan delivery timelines accordingly.
- Obtain delivery orders from shipping lines and freight forwarders within required deadlines.
- Collect certificates from the Chamber of Commerce.
- Assist stores with stationery, IT needs, and other requirements during store openings and closures.
- Liaise with the Club Apparel team for customer data and with the Marketing team for graphic design needs.
- Review and prepare stock variance reports whenever requested.
- Follow up on trade license matters with the legal department.
- Gather daily purchase reports from stores.
- Receive master data from the data entry team and compile reports as needed.
- Coordinate with Accounts and Finance regarding voucher payments for principals.
- Submit GCC stock documents to the logistics department.
- Work with Inventory Control on stock-related concerns.
- Prepare MIS reports as required by the team.
- Complete store visit reports and share them regularly with superiors.
Role Purpose
The coordinator is expected to support logistics administration, shipment follow-up, documentation, reporting, and cross-functional coordination to ensure daily operations run efficiently.
