Role Contribution and Responsibilities

The Invoice Analyst will be responsible for ensuring all billing processes reflect accurate commitments based on sales proposals and service orders. This includes examining discrepancies, preparing fiscal summaries, and generating invoices accurately for customers. The role requires managing disputes related to OEM invoices, supporting research on disputed customer invoices, and overseeing billing pipelines for ongoing projects.

Key tasks include reviewing sales proposals to confirm special terms are invoiced correctly, investigating labor and material billing issues, preparing final customer invoices, electronically filing claims, and updating work order tracking systems. Additionally, the analyst adjudicates warranty programs, interprets and invoices for both internal stakeholders and external vendors or OEMs, and verifies customer information such as credit limits and warranty programs.

The role also involves scheduling and assigning work to employees within the area, providing mentorship and training to enhance job performance and proficiency. Monitoring project progress, customer service performance, reporting risks and issues, and ensuring sustained quality of service are also critical.

Qualifications and Skills

• Bachelor's degree in a business-related field.
• Minimum of 3 years' experience with SAP.
• Minimum of 3 years' experience in aviation parts, maintenance, or aviation invoicing.
• Familiarity with aviation terminology.
• In-depth knowledge of vendor warranty and post-warranty programs.
• Comprehensive understanding of aircraft maintenance procedures.
• Proficient in word processing, spreadsheet, database, email, and web-based applications.
• Strong planning and organizational skills to handle multiple projects and prioritize workload.
• Excellent interpersonal skills to foster effective working relationships across sales teams, customers, peers, and management.
