About the Role
The Winnipeg Regional Health Authority (WRHA) is seeking an experienced Administrative Secretary to join the Community Health Services team within the Communicable Disease Techs and STBBI department. This full-time position, based in Winnipeg, Manitoba, supports management by handling various administrative, operational, and human resource tasks, contributing to a respectful and effective work environment.
Key Responsibilities
- Provide comprehensive administrative support to community area managers, including payroll and timekeeping assistance.
- Assist in human resource-related tasks under managerial guidance.
- Manage ordering of supplies and services, verify deliveries, and investigate discrepancies.
- Process coding for invoices and expense claims accurately.
- Coordinate day-to-day facility operations such as parking management, site orientations, equipment handling, access control, repairs, maintenance, housekeeping, and security.
- Oversee workload distribution within the administrative support team for multiple community offices.
- Participate actively in workload sharing and team coverage to ensure smooth office functionality.
Experience and Qualifications
- At least five years of progressively responsible secretarial experience are mandatory.
- Previous exposure to SAP systems is advantageous.
- Experience working in healthcare office administration is considered a plus.
- Leadership or supervisory experience in workload coordination is beneficial.
- Completion of high school education meeting Manitoba standards is required.
- Successful graduation from a formal post-secondary administrative assistant program is essential.
- Equivalent combinations of education and experience may also be accepted.
Skills and Competencies
- Proficient in organizing meetings, preparing minutes and agendas, and researching relevant information.
- Strong command of English language, both verbal and written.
- Adeptness in learning and adapting to new computer software programs.
- Excellent problem-solving abilities and capacity to prioritize large workloads.
- Capability to independently draft basic correspondence with confidentiality.
- Effective teamwork skills with leadership capabilities within a team environment.
- Ability to perform well under pressure and adhere to deadlines in a fast-paced environment.
Additional Information
- This permanent full-time role entails a 7.75-hour workday, totaling 2015 annual hours, with daytime shifts.
- Salary ranges from $26.466 to $30.222 per hour distributed in increment steps.
- The position requires successful completion of a criminal record check including Vulnerable Sector Search, Child Abuse Registry, and Adult Abuse Registry checks prior to employment; related costs are the candidate's responsibility.
- Employees cannot hold multiple positions within the WRHA legal entity that exceed a combined full-time equivalent of 1.0.
