Role overview
This role supports the Food & Beverage department by keeping day-to-day operations organized and efficient, ensuring smooth coordination with other teams and helping maintain the company’s core processes. The position has a direct influence on service delivery through strong administrative support.
The job covers department administration, attendance and timekeeping coordination, key control, training nomination tracking, meeting room arrangements, minute taking, colleague file handling, and management of the department’s internal web page.
Key duties
- Manage incoming calls and departmental correspondence, including responses and follow-ups.
- Prepare letters, emails, standard reports, and presentations, often from existing templates.
- Organize meetings, briefings, and internal department events, including invitations, room reservations, and event requests.
- Record meeting minutes and share them with the team.
- Create purchase requests and track approvals, deliveries, and payments.
- Maintain stationery inventory and process stationery requests when needed.
- File departmental documents properly and keep records current and organized.
- Handle routine forms such as leave requests, expense claims, and business travel approvals.
- Update trackers, spreadsheets, and recurring reports.
- Coordinate travel arrangements with the Human Resources team.
- Submit maintenance-related service requests for the department.
- Update timekeeping and attendance records as required, excluding scheduling and overtime approvals.
- Carry out other administrative tasks assigned by the department.
- Support payroll and HR administration for the Food & Beverage department.
- Oversee HACCP-related processes for the kitchen team.
- Work with Food Alert to support investigations and audits.
- Plan, document, and track departmental training, including inductions for new joiners.
- Maintain clear communication between line managers and other departments.
- Follow UAE laws, health, safety, and environmental requirements, and report hazards or incidents to help keep the workplace safe, clean, and hygienic for guests and colleagues.
- Support performance reviews and audits with stakeholders, including front-of-house and back-of-house audits, and consolidate the findings.
- Assist in developing SOPs, standard training plans, and workshop documentation aligned with Business Excellence templates.
Experience and qualifications
The ideal candidate should have a high school diploma or equivalent qualification, along with at least 2 years of experience in a similar role. Strong written and spoken English is required, as well as confidence using MS Word, Excel, and PowerPoint. The role also calls for solid customer service ability, strong communication and presentation skills, attention to detail, and the ability to meet deadlines without compromising quality. Analytical thinking, problem-solving, and interpersonal effectiveness are also important.
Preferred profile
Additional training in secretarial or administrative work is considered an advantage. Experience supporting administration in a theme park or hotel environment is preferred. The role also benefits from someone who can work independently when needed, build relationships across different management levels, and maintain productive working relationships with managers and team members. Familiarity with FLIC, MAXIMO, ORACLE, IG, EATEC, and LMS systems is a plus.
