Role Overview
This permanent full-time position is based in the West Perth office, conveniently near the City West train station. The Travel Coordinator is responsible for organizing and managing domestic travel (excluding site-related travel) mainly for Perth employees and coordinating international travel arrangements for all staff except Executive Leadership Team members. The role requires close collaboration with Business Services and Facilities teams, providing cross-departmental support and cover when needed.
Key Duties
- Arrange and manage international business travel for non-ELT employees, ensuring all travel preparations such as visas, medical clearances, and insurance are in place
- Contribute to refining long-term processes for international travel coordination
- Offer assistance and cover within the Perth Business Services and Facilities teams as necessary
- Support site travel administration particularly in the onboarding of new employees
- Assist with contingency and emergency response activities, including cyclone events, and provide support to the Crisis Management Team or related initiatives
- Monitor daily budget adherence for Business Services and Facilities, identifying financial risks and suggesting efficiencies
- Manage travel-related communications received via email, ensuring proper escalation and timely responses
- Liaise with internal stakeholders such as Risk, Accounts Payable, Contracts & Procurement, HR, and external providers like Corporate Travel Management
- Coordinate in-office events, including planning, setup, catering, invitations, logistics, purchase order management, and invoice processing

- Proven experience in arranging both international and domestic travel
- Outstanding customer service capabilities
- Strong administrative skills
- Excellent organizational skills and attention to detail
- Team player who can perform well in a busy environment and handle additional ad hoc responsibilities
